Please refer to the below FAQs for guidance on common issues that may occur during the Sampling, Testing, and Reporting stages in the ClearStream module.

I submitted the sampling information, but it contains an error — can I change it?

No. Sampling information is permanently locked once submitted. If you have submitted incorrect sampling data, contact ZDHC customer support. They will advise on how to proceed. Please don't submit results based on incorrect sampling data without first resolving the issue.

Note: Double-check all sampling fields before submitting — including the ClearStream ID, effluent discharge method, wastewater type and volume, and coordinates for each sampling point. Submission is irreversible.

The parameter list looks wrong — a parameter is missing or shouldn't be there. What should I do?

The parameter list is automatically generated from the supplier's facility profile. The laboratory cannot edit it. If you believe the list is incorrect — for example, a parameter that should not apply to this facility type is included, or a required parameter is missing — do not confirm the start of testing. Contact ZDHC customer support with details of the discrepancy before proceeding.

Note: Do not raise parameter discrepancies directly with the supplier at this stage. The facility profile must be corrected through ZDHC customer support.

I can't submit results — there is a validation error

All parameters must have a valid entry before submission is possible. Check for:

  • ? (pending) — both the test method and detected value must be entered. If only one field is filled in, the parameter remains pending.
  • Invalid — the detected value may be in the wrong format. Enter numbers only — no units, no letters. The unit is displayed separately.
  • Incomplete sub-groups — scroll through the full parameter list and make sure every sub-group within every top-level group has been completed. Sub-groups are easy to miss if you have not expanded all of them.

Use the filter on the parameter entry screen to show only parameters with an incomplete or invalid status, which makes it easier to locate outstanding entries.

I locked the results by mistake and needed to make a correction. Can I make updates?

Once results are confirmed and locked, you cannot edit them without a supplier action. You have two options:

  • Contact the supplier and ask them to decline the results and send them back to you for correction. Once they do this, the project card returns to the Reporting column, and you can update and resubmit.
  • Contact ZDHC customer support if the supplier is unresponsive or if the error is significant.

Note: You cannot undo a lock yourself. The supplier must actively send results back before you can make any changes.

The supplier sent the results back — what do I need to fix?

When results are sent back, you receive a notification that includes the supplier's reason. Open the project card in the Reporting column and review the reason shown. Make the relevant corrections to the parameter entries and resubmit.

If the supplier's reason is unclear, contact them directly outside the platform for clarification before making changes.

A project disappeared from Pending supplier review without me doing anything. What happened?

This is expected. Three things can cause a project card to leave the Pending supplier review column without lab action:

  • The supplier accepted the results — the card moved to Accepted.
  • The 14-day review period expired — the results are automatically accepted, and the card moves to Accepted.
  • The supplier declined entirely — the card moved to Completed.

Check the Accepted and Completed columns on your My Projects board. You can also check the activity log for a timestamped record of exactly what happened.

I declined a request, but the project card is still on my board

Declined requests are not deleted. The project card moves to the Rejected column and stays there permanently. The My Projects board retains all projects — active and closed — as a permanent record. You cannot remove cards from the board.

I accepted a request, but now I cannot complete the project — what should I do?

Once a request is accepted, it becomes a binding commitment and cannot be cancelled by either party. If your laboratory is unable to complete the project due to exceptional circumstances, contact ZDHC customer support as soon as possible to discuss the situation.

The supplier is not responding, and the project has been in Pending supplier review for a long time

If the supplier does not respond within 14 days, the results are automatically accepted. The project moves to the Accepted column, and the ClearStream Report is generated. You will receive a notification when this happens. No action is required from the laboratory.

How do I find a project from a previous testing cycle?

All completed projects remain visible on the My Projects board in the Accepted, Completed, or Rejected columns. For a text-based search or date-filtered view of all past activity, use the Activity log, which records every action taken across all cycles with timestamps and cycle IDs.
