This article explains how to review and respond to an incoming ClearStream testing request from a supplier.

01/ Introduction

When a supplier selects your laboratory and submits a testing request, you receive a notification, and the project card appears in the New request column on your My Projects board. You have two weeks to accept or decline. If you do not respond within two weeks, the request is automatically declined.

Accepting a request is a binding commitment — once accepted, the project cannot be cancelled from either side until the testing cycle is complete.

02/ Receiving a request

When a new request arrives:

  • You receive a notification from the platform.
  • A project card appears in the New request column on the My Projects board.
  • The card shows the supplier name, supplier ID, start date, and last update date.

03/ Reviewing the request

Before deciding whether to accept, review the supplier's details.

  1. On the My Projects board, click the project card in the New request column to open the side panel.
  2. Review the supplier's facility profile, which includes:
  • Industry type and facility type.
  • Discharge type and wastewater volume.
  • Sludge information.
  1. If you need more information about the facility before deciding, contact the supplier directly using the contact details shown in the step. This contact takes place outside the platform.

04/ Accepting a request

If you are able to take on the project:

  1. In the side panel, click Accept.
  2. Confirm your decision.

The supplier is notified immediately that you have accepted. The project card moves to the Sampling column on your board, and the supplier's Step 4 — Process reporting fee — is unlocked on their side.

Note: Accepting a request is a binding commitment. Once accepted, the project cannot be cancelled by the laboratory or the supplier until the full testing cycle is complete.

05/ Declining a request

If you are unable to take on the project:

  1. In the side panel, click Decline.
  2. Enter the reason for declining.
  3. Confirm your decision.

The supplier is notified immediately, along with the reason you provided. The project card moves to the Rejected column on your board. The supplier can then select a different laboratory and submit a new request.

Tip: Providing a clear reason when declining helps the supplier understand whether the issue is capacity, geography, or scope — and helps them find a more suitable laboratory faster.

06/ If you do not respond within two weeks

If no response is given within two weeks of the request being sent, the request is automatically declined. The project card moves to the Rejected column. The supplier is notified and can select another laboratory.
