This article explains what happens to your access and published content when a Gateway subscription expires, and what you need to do to restore it.

01/ Introduction

ZDHC Gateway subscriptions do not auto-renew. When a subscription reaches its expiry date, the platform automatically restricts access to subscription-gated features. For Chemical Formulators, all published products are unpublished immediately. For Suppliers, ClearStream and InCheck Report publishing is blocked. No data is deleted.

02/ What happens at expiry - Chemical Formulators

  • All of your published products are automatically unpublished the moment the subscription expires. No data is lost — product details, SDS files, certifications, and history are all preserved.
  • A log entry is recorded: your organisation ID, the number of products unpublished, and the timestamp.
  • On your next login, a banner appears on the product list: "Your subscription has expired. Your published products have been unpublished. Renew your subscription to make them public again." The banner includes a link to the Subscriptions page.

03/ What happens at expiry - Suppliers

  • ClearStream and InCheck reports can no longer be published. No existing data is deleted, and reports remain accessible.
  • No new ClearStream or InCheck reports can be made public until a new subscription is active.

Note: The Supplier subscription gates both ClearStream and InCheck publishing. If the subscription expires, both are affected simultaneously.

04/ What does not happen at expiry

  • Products and reports are not deleted.
  • Organisation data (products, reports, connections, members) is not deleted or hidden.
  • The organisation does not become inactive.
  • Users can still log in and access the platform.

05/ After purchasing a new subscription

For Chemical Formulators: Renewing or purchasing a new subscription does not automatically republish your products. You must republish each product manually. The number of products you can publish is determined by your new subscription tier.

For Suppliers: Once a new subscription is active, ClearStream and InCheck publishing are available again immediately.

06/ Is there a grace period?

There is no grace period after expiry. The subscription expires, and access is removed immediately. However, organisations have a practical buffer of up to 60 days before expiry takes effect on published content: the Renew button appears 30 days before expiry, and if you choose bank transfer for the new subscription, the resulting invoice adds a further 30-day payment window. This is not a post-expiry grace period — it is the combination of the pre-expiry renewal window and the bank transfer payment window on the new subscription.

07/ Does renewal carry over existing data and settings?

Yes. All product data, SDS files, certifications, and organisation settings are preserved regardless of subscription status. Only the published state of products is affected by expiry — and that can be restored by republishing after a new subscription is active.

08/ How do you renew or get a new subscription?

If your subscription is within 30 days of expiry, a Renew button appears on the Subscriptions overview. If it has already expired, the Renew button does not appear: you must purchase a new subscription from the same page.
