This article explains the payment methods available on the ZDHC Gateway and what to keep in mind before completing a payment.

01/ Introduction

The ZDHC Gateway supports two payment methods: credit or debit card, and bank transfer. A credit card is recommended where possible, as it provides instant confirmation and immediate access to any subscriptions or services linked to the payment.

03/ Credit or debit card payments

Payments made by credit or debit card are processed immediately. All major credit and debit cards are accepted. Once the payment is confirmed, any subscription or service linked to the payment is activated straight away.

04/ Bank transfer payments

Bank transfer payments take longer to process. After you initiate a transfer from your local bank, the funds must travel through the international banking system before reaching the ZDHC bank account. ZDHC then needs time to process the incoming payment and match it to your invoice. This full process can take up to 10 working days.

A €25 administration fee is added to every bank transfer payment. This fee is non-negotiable and applies to all bank transfer transactions regardless of the invoice amount.

When paying by bank transfer, you must follow these instructions to avoid delays or payment failures:

  1. Pay the full invoiced amount, including the €25 administration fee.
  2. Cover all bank fees from your side. Select fee type "OUR" in your bank payment instructions to ensure ZDHC receives the full amount.
  3. Include your invoice number in the payment reference field.

Note: If ZDHC receives less than the invoiced amount, your payment cannot be approved. See the section below on underpayments.

05/ Tracking your payment status

You can track the status of every invoice directly on the Gateway. For each invoice, you will be able to see:

  • The total amount due.
  • How much has been received.
  • Whether there is an outstanding balance remaining.

06/ Underpayments

If the amount received is less than the invoiced amount, for example, because bank fees were deducted in transit, the payment cannot be approved. You will be notified, and your invoice will show an outstanding balance on the ZDHC Gateway.

To resolve an underpayment, you can either:

  • Pay the remaining balance by bank transfer, following the same instructions above.
  • Pay the remaining balance by credit or debit card directly on the ZDHC Gateway.

Tip: To avoid underpayments on bank transfers, always select the fee type "OUR" in your bank payment instructions. This ensures all transfer fees are charged to your account rather than deducted from the payment amount.

07/ Tips & Notes

Notes: 

  • Additional payment methods (including PayPal and regional payment options) are under consideration for future releases. At this time, credit or debit cards and bank transfers are the only supported payment methods.
  • VAT is calculated separately on every invoice, based on your organisation's country of registration.
