This article explains the Safety Data Sheet (SDS) requirements for ChemCheck products, how to upload one, how to replace it, and how to view the SDS version history.
01/ Introduction
Uploading an SDS is mandatory. A product cannot be created without one. Sharing a URL linking to an external SDS is no longer accepted as a substitute for an uploaded file. The SDS must be uploaded as a PDF file directly into the platform — DOC/DOCX files are not accepted.
Every ChemCheck product must have a Safety Data Sheet attached. The SDS contains all safety information, handling procedures, and emergency response details for the product in line with standard SDS requirements. It is the primary document certification bodies use when reviewing a product.
An optional Technical Data Sheet (TDS) can also be uploaded alongside the SDS.
02/ SDS requirements
| Requirement | Details |
|---|---|
| File format | PDF only. DOC/DOCX files are not accepted |
| Maximum file size | 10 MB |
| Mandatory? | Yes, a product cannot be created or saved without one |
| URL links | Not accepted as a substitute for an uploaded file |
| Version history | All previous versions are retained and accessible |
03/ Uploading an SDS when creating a product
- In the product creation form, scroll to the Data sheets section.
- Click Upload SDS.
- Select your SDS file. The file must be in PDF format and no larger than 10 MB.
- The file name appears once the upload is complete.
04/ Uploading a Technical Data Sheet (optional)
- Click Upload TDS to upload a Technical Data Sheet.
- Select your TDS file. The same size requirements apply as for the SDS.
05/ Replacing the SDS on an existing product
If you need to update the SDS — for example, after a product reformulation — you can replace it at any time from the product detail page.
Open the product from your product portfolio.
- Click Edit in the top-right corner. The edit panel opens on the right.
- In the edit panel, scroll to the Safety Data Sheet section.
- Click the replace or upload option to upload a new version of the SDS.
- Click Save. The new file becomes the active SDS. The previous version is moved to the SDS version history.
Notes:
- SDS change by the chemical formulator removes the certificate from the ZDHC Gateway. The certification body can resubmit it, as long as the product still meets requirements.
- Replacing the SDS does not delete the previous version. All previous SDS versions are retained in the product's version history.
06/ Viewing SDS version history
To see all previous versions of the SDS for a product:
- Open the product from your product portfolio.
- Click Edit in the top-right corner.
- In the edit panel, below the current SDS file, click View SDS history. A list of all previous versions is shown, each with its upload date.
Tip: SDS version history is particularly useful during audits or when a certification body asks for information about a previous version of the product formulation.
07/ Tips & Notes
Notes:
- Local language product names must appear in the Safety Data Sheet. If a name is added that does not appear in the SDS, it may be flagged and removed by the ZDHC quality team.
- There is no limit to the number of SDS versions that can be retained. All historical versions are stored indefinitely.
