This article explains what will happen during the transition from the current ZDHC Gateway to the relaunched version, including the transition window, what to expect during downtime, and what will be available when the relaunched ZDHC Gateway goes live.
01/ Introduction
The move to the relaunched ZDHC Gateway has been carefully planned to ensure a seamless experience for all users. Our priority is to make the transition as smooth as possible, with minimal disruption to your day-to-day activities. To support this, we will migrate all existing data, settings, and records from the current platform to the relaunched ZDHC Gateway, allowing you to continue where you left off without losing any information.
As part of this one-time transition, a short migration window will be required during which the ZDHC Gateway will be temporarily unavailable. This dedicated transition period enables the ZDHC team to complete the final data migration, system checks, and user redirection activities needed to ensure a successful launch.
02/ How long will the transition period last?
ZDHC will communicate the exact dates for the transition period in advance in upcoming communications.
03/ What happens during the transition window
During this period:
- The current version of the ZDHC Gateway will be switched off and will no longer be accessible.
- The relaunched ZDHC Gateway will not yet be open to users.
- No access, data review, submission, or reporting will be possible.
This window exists to allow a complete and accurate data migration. It is not possible to run both platforms simultaneously.
Note: Plan ahead if you have time-sensitive activities to do on the ZDHC Gateway. ZDHC will communicate the exact dates in advance so you can plan accordingly.
04/ What happens to my data?
All data from the current ZDHC Gateway, including organisation and user information, active subscriptions, products, certifications, InCheck data, ClearStream data, and organisation connections, will be migrated to the relaunched ZDHC Gateway during the transition.
You do not need to re-enter or re-upload anything (exemptions: organisation/user invitations that have not been activated yet). Once the relaunched ZDHC Gateway goes live, your data will be available in your account.
05/ What will not be migrated?
Invitations to other organisations to join the ZDHC Gateway and invitations to have a new user added to your ZDHC Gateway account. If these invitations have been issued in the current ZDHC Gateway, the invitation link in the email is directed to the current ZDHC Gateway. Should the link not be activated and onboarding initiated before the transition period, then these invitations will need to be reissued in the relaunched ZDHC Gateway account.
06/ What happens to active subscriptions after migration?
Active subscriptions will be migrated into the relaunched ZDHC Gateway and continue after the migration. Access will remain available for the remaining subscription period, depending on the subscription type.
Supplier subscriptions
Existing active supplier subscriptions for Performance InCheck and ClearStream active subscriptions will be migrated and continue as usual.
Chemical formulator subscriptions
Chemical formulator subscriptions are paid directly by the chemical formulator and usually run for one year. Any active subscription will continue for the remaining subscription period.
Pending or unpaid payments
Subscriptions only become active once payment has been received.
For credit card payments, this usually happens immediately. For bank transfers, there may be a delay between invoice creation and payment confirmation.
If a new subscription was created in the current Gateway before migration and wire payment has been selected as the payment method, the subscription will be activated in the relaunched ZDHC Gateway once the payment is confirmed. If payment is not received, the unpaid subscription will be cancelled, and access will not be activated.
In summary
Paid active subscriptions will continue. Pending or unpaid subscriptions will not become active until payment is received.
07/ What changes when the relaunched ZDHC Gateway goes live?
When the transition period ends, the relaunched ZDHC Gateway goes live, and the previous ZDHC Gateway is permanently retired. Users will be automatically redirected from the old platform URL to the new one.
User interface and workflows have been improved. For guidance, please consult the relevant ZDHC Knowledge Base articles, which we will publish before the go-live date.
08/ Where can I find more guidance on the ZDHC Gateway?
Further guidance will be available in the ZDHC Knowledge Base. These resources will explain the updated workflows, key changes, and how to use the relaunched ZDHC Gateway after go-live.
We will also host training sessions open to all ZDHC Gateway users. You can sign up for them in the ZDHC Event Platform.
