This article explains how your Solution Provider submits your monthly InCheck Report, how to review it, and what happens if you publish, decline, or take no action.

01/ Introduction

Only your connected Solution Provider(s) can submit an InCheck Report. There is no form anywhere on the ZDHC Gateway for a facility to enter chemical inventory data directly. Each report covers a single calendar month and lists the chemical formulations in use at your facility for that month, along with weights and ZDHC MRSL data. Each submission also records an Inventory Type: Usage or Delivery.

Your Solution Provider has 45 days from the end of the reporting month to submit a report (temporarily extended to 90 days during the 2026 platform migration), in line with ClearStream's submission deadline.

02/ Prerequisites

  • Admin access — you must be an admin in your organisation to publish or decline a report.
  • At least one Approved Solution Provider must be connected.

03/ Steps

  1. Click InCheck in the top navigation.
  2. Select InCheck Reports in the InCheck Module sidebar.
    Any report your Solution Provider has submitted appears here with the status Submitted.
  3. Select a report to open its detail panel.
    You can see the full breakdown of chemical formulations, weights, ZDHC MRSL level per formulation, the submission date, the InCheck performance level, and which Solution Provider submitted it.
  4. Choose one of the following:
    • Select Publish to make the report visible to your connected brands and vendors via the Data Hub.
    • Select Decline and enter a reason. Your Solution Provider must receive the reason and submit a corrected report as a new submission for the same period.

04/ What happens if you don't take action: auto-publish

If you don't publish or decline a submitted report, it will publish automatically once the submission window closes (45 days from month-end; 90 days during the 2026 migration). Auto-published reports are permanent, in the same way as manually published ones — they cannot be unpublished.

05/ Tips & Notes

Notes: 

  • Only one report per facility per month can ever be published, shared with your connections, or turned into a PDF (even if more than one of your connected Solution Providers submits a report for the same month). If you act, you choose which one is published. If you take no action, the first report submitted auto-publishes; the others do not go live.
  • Published reports — whether published manually or automatically — cannot be edited or unpublished. If you believe a report was published in error, contact ZDHC Customer Support. A declined report also cannot be edited; your Solution Provider must submit a brand-new report for the same period, which then appears alongside the declined one.

Tip: Review and act on submitted reports as soon as you can, rather than waiting for the deadline. This lets you catch the wrong facility, wrong formulations, wrong weights, or wrong Inventory Type before your business partners see it, and provide them with accurate data sooner.
