How do I edit a chemical product? (Formulators)

The system allows you to edit your chemical product information anytime. You can edit the name of the chemical product, Code, Formulator, Category, Type, and Description. You can also modify the chemical product’s Certifications and SDS. However, the ZDHC PID and the Self- Declaration on your chemical product cannot be altered.

Steps to edit your chemical Product:

  1. Go to the Products Screenshot_2020-07-03_at_12.31.44.png tab in your Home page.
  2. Under the Action column of the chemical product that you want to edit, click Edit blobid0.png. This will redirect you to the Product Profile.
  3. Fill in all fields that you want to modify.
  4. Click Save Screenshot_2020-07-03_at_11.48.32.png to save your updates or Cancel Screenshot_2020-07-03_at_11.48.37.png to discard your inputs.
How do I download a chemical product? (Formulators)

Formulators may download certain chemical product information by the Download Product feature of the ZDHC Gateway.

To download chemical product information:

  1. Go to Products Screenshot_2020-07-03_at_12.31.44.png page using the left navigation.
  2. Under the Select column, tick on the check box Screenshot_2020-07-03_at_12.38.21.png besides the chemical product you want to download. You may also Tick the check box directly under the Select Screenshot_2020-07-03_at_12.38.56.png header to select all the chemical products.
  3. Once you have already selected the chemical products you need to download, click on Download Screenshot_2020-06-10_at_14.11.14.png to proceed.
How do I deactivate/reactivate a chemical product? (Formulators)

Formulators may deactivate or reactivate their chemical products

To Deactivate:

  1. Go to Products Screenshot_2020-07-03_at_12.31.44.png page using the left navigation.
  2. Under the Select column, tick on the check box Screenshot_2020-07-03_at_12.38.21.png besides the chemical product you want to deactivate. You may also Tick the check box directly under the Select Screenshot_2020-07-03_at_12.38.56.pngheader to select all the chemical products.
  3. Once you have already selected the chemical product you need to deactivate, click on Deactivate Screenshot_2020-07-03_at_12.45.11.png. A pop-up window will ask for the confirmation of your chemical product deactivation.
  4. Click Yes Screenshot_2020-07-03_at_12.46.06.png to proceed or No Screenshot_2020-07-03_at_12.46.11.png if otherwise.

To Reactivate:

  1. Go to ProductsScreenshot_2020-07-03_at_12.31.44.png page using the left navigation.
  2. Identify the deactivated chemical product you want to reactivate.
  3. Under the Action column click Screenshot_2020-07-03_at_12.48.00.png to Reactivate. A pop-up box will confirm the reactivation of your chemical product.
  4. Click Yes Screenshot_2020-07-03_at_12.46.06.png to proceed or No Screenshot_2020-07-03_at_12.46.11.png if otherwise.
How do I delete a chemical product? (Formulators)

Formulators may delete chemical products. Only deactivated chemical products can be deleted. See “How do I deactivate/reactivate chemical product” For instructions.

To delete a deactivated chemical product:

  1. Go to ProductsScreenshot_2020-07-03_at_12.31.44.png page using the left navigation.
  2. Identify the deactivated chemical product you want to delete.
  3. Under the Action column click the Delete Screenshot_2020-07-03_at_12.50.40.png action.  A pop-up box will confirm the reactivation of your chemical product.
  4. Click Yes Screenshot_2020-07-03_at_12.46.06.png to proceed or No Screenshot_2020-07-03_at_12.46.11.png if otherwise.
If I am a chemical formulator, can I make my chemical product information private?

Yes, the ZDHC Gateway – Chemical Module allows companies to make chemical products private or public.

  • Private means this chemical product information can only be viewed by the chemical formulator themselves. The Private function enables chemical formulators to temporarily save their chemical information in the ZDHC Gateway – Chemical Module before making it public.
  • Public means this chemical product is visible to all registered manufacturing facilities and brands in the ZDHC Gateway – Chemical Module, including any MSDS/SDS documents that have been made available, together with the certification information or other chemical product information. The associated conformance level will be displayed on each Product Profile and summarised in the Company Profile.
How do I view the list of my public chemical products? (Formulators)

The Products section in your profile permits you to see your chemical products which are visible to the public for viewing. Your chemical products are all assembled in the list. If you wish to view the chemical products, follow the steps below.

Steps to view your public Products:

  1. Go to the Profile tab Screenshot_2020-07-03_at_11.39.38.png in your Home page.
  2. Click on the Products tab located on the middle section of the page. You will be redirected to the Products page where you can view the list of your chemical products.
How do I add or edit my chemical products and services details? (Formulators)

The Products & Services section allows you to highlight the most significant Products and Services of your Company. To add or edit your Products & Services, follow the steps below.

Steps to add or edit your Products & Services details:

  1. Go to the Profile tabScreenshot_2020-07-03_at_11.39.38.png in your Home page.
  2. Go to Products & Services tab located on the left part of the page.
  3. Click Edit Screenshot_2020-07-03_at_13.00.31.pngon the right section of the empty banner of Products & Services. The text editor will show and you can now update the description and apply a style to the content.
  4. Click Save Screenshot_2020-07-03_at_11.48.32.png to save the changes or click Cancel Screenshot_2020-07-03_at_11.48.37.png to discard your inputs.

02/ Safety Data Sheet (SDS)

Since when is it mandatory to upload a Safety Data Sheet (SDS) along with the product in the ZDHC Gateway?

An upload of the SDS along with the product became mandatory on the 1st of January 2023 on the ZDHC Gateway.

Why is it mandatory to upload a Safety Data Sheet (SDS)?

The ZDHC Gateway is a one-stop solution for Suppliers to access all information about the chemical product they are using. By using the ZDHC Gateway, Suppliers can access not only ZDHC MRSL conformance details but also details on certifications, Safety Data Sheets (SDS) and other (optional) documents in one place.

Having a correct and complete SDS is a crucial aspect of process chemical management for Suppliers, as the information provided in the SDS can help them plan precautions for safe storage, handling, transport, and disposal of the chemical product being used. Moreover, Suppliers require the SDS for inputting information into the chemical inventory list. With the new policy, we have followed Suppliers’ and Brands' requests as they struggle to get correct and updated SDS from their supply chain partners to ensure more transparency and accuracy of product information shared with the Suppliers and Brands.

Who can access the information on the Safety Data Sheet (SDS)?

Suppliers, Vendors and Brands who are registered on the ZDHC Gateway can access the Formulator’s Safety Data Sheet(s).

What will ZDHC do with the information from the Safety Data Sheet (SDS)?

SDS access on the ZDHC Gateway is meant to support the proper chemical management of our Suppliers. ZDHC is not using this information.

What information does the Safety Data Sheet (SDS) need to include?

A Safety Data Sheet (SDS) is a standardised document that contains occupational safety and health data. SDSs typically contain chemical properties, health and environmental hazards, protective measures, as well as safety precautions for storing, handling, and transporting chemicals. All SDS must contain the 16 sections, described here, as per the following standards.

Please note that section 3 only requires information on product ingredients as per specified hazard type, there is no need to list the entire ingredient list.

Is it required to have product recipe information in the Safety Data Sheet (SDS)?

ZDHC understands that there may be concerns about sharing proprietary information. However, Section 3 in an SDS is for a Formulator to declare the hazardous ingredients in the formulation only, with individual CAS numbers and approx % or parts used of each ingredient in the formulation.

Full ingredient information is not required to be given, only the hazardous ones with the hazard classification.  However, if the ingredient is an intellectual property of the Formulator, it is allowed to use "Proprietary" instead of naming the ingredient or CAS number, but the hazard and approximate % used must be mentioned. Thus, sharing of SDS does not necessarily mean that the Formulator has to disclose their trade secrets or intellectual property.

In which language does the Safety Data Sheet (SDS) need to be?

As per law, an SDS has to be in the official language of a country. If the official language is English, it can be in English. Many Formulators provide SDS in English, as it is a language commonly used. SDS software that is available to author SDS can provide the SDS in multiple languages.

In which format does the Safety Data Sheet (SDS) need to be?

An SDS needs to be in line with one of the following standards:

  • ANSI Z400.1 (2004)
  • EC 1907/2006 (REACH)
  • EC 2001/58
  • EC 1272/2008
  • EU 2015/830
  • EU 2020/878
  • GHS (Global Harmonised System)
  • ISO 11014 (1)
  • JIS Z 7250:2005 (Part1)
Can I also insert a link to a place from where the Safety Data Sheet (SDS) can be accessed?

Yes, instead of uploading the PDF file with the SDS, you can simply add the link to a webpage or an internal platform where the Safety Data Sheet is located. Note: this should not be an email address. Please refer to the question “How do I add a new Safety Data Sheet on my chemical product?” for instructions.

How do I add a new Safety Data Sheet on my chemical product? (Formulators)

To add a new SDS to your chemical product, follow the steps below.

Steps to add a new SDS for your chemical product:

  1. Go to the Products Screenshot_2020-07-03_at_12.31.44.png tab in your Home page.
  2. Under the Action column of the chemical product you want to edit, click Edit blobid0.png. This will direct you to the Product Profile page.
  3. Click the Add New SDS Screenshot_2020-07-03_at_12.54.04.png on the Certification section located on the lower-left part of the page.
  4. Select either Upload or Link from the dropdown list Screenshot_2020-07-03_at_12.54.47.png :

    - If you select Upload, simply fill in all fields marked with an asterisk (*). Click Browse File Screenshot_2020-07-03_at_12.55.35.png to upload your SDS from your local drive.

    - If you select Link,  input the Effective Date and the Link of your SDS. Note: the link must lead to a webpage or an internal platform where the SDS is located and should not be an email address.

  5. To save your updates, click Save Screenshot_2020-07-03_at_11.48.32.png or click Cancel Screenshot_2020-07-03_at_11.48.37.png to discard your inputs.

How do I edit the Safety Data Sheet (SDS) of my chemical products? (Formulators)

The system enables you to modify the content of your SDS by following the steps below.

Steps to edit the SDS of your chemical products:

  1. Go to the ProductsScreenshot_2020-07-03_at_12.31.44.png tab in your Home page.
  2. To edit the chemical products’ SDS, click the corresponding chemical product name.
  3. This will redirect you to the Products Profile Hover to SDS on the right.
  4. Click Edit Screenshot_2020-07-03_at_13.00.31.png on the chemical product profile section.
  5. Click the Edit button Screenshot_2020-07-03_at_13.00.45.png under the action column on the SDS that you want to edit. You will be redirected to the SDS Details.
  6. Fill in all fields marked with an asterisk (*).
  7. You can upload a PDF file of your SDS by clicking Browse File Screenshot_2020-07-03_at_12.55.35.png  and selecting a file to be uploaded from your local drive.
How do I filter searches by Safety Data Sheets? (Formulators)

To easily find the specific SDS that you need, you can use the filter search function. To apply these filters, follow the steps below.

Steps to filter your searches on SDS section:

  1. Go to the ProductsScreenshot_2020-07-03_at_12.31.44.png tab in your Home page.
  2. For SDS verification, click the corresponding chemical product name. This will redirect you to the Product Profile.
  3. Click Edit Screenshot_2020-07-03_at_13.00.31.pngon the chemical product profile section.
  4. Click the View SDS List Screenshot_2020-07-03_at_13.06.45.png and you will be redirected to the SDS Details.
  5. Select the Advanced Filter Screenshot_2020-07-03_at_13.07.34.png drop down button on the upper-left part of the page.
  6. Input the Language, Standard, Effective Date, and Update Date, on the menus provided on top of the page. The filter will automatically generate the result after your selection.
How do I view the Safety Data Sheet of my chemical product? (Formulators)

Your SDS provides chemical safety information of your chemical products. It is intended to provide extensive information about the properties of chemicals in your chemical product and the impact it can have with regard to the overall health and safety in a workplace. If you need to view your SDS, follow the steps below.

Steps to view the SDS of your chemical product:

  1. Go to the ProductsScreenshot_2020-07-03_at_12.31.44.png tab in your Home page.
  2. To view the SDS, click the corresponding chemical product name and you will be redirected to the Product Profile.
  3. Click the View SDS List Screenshot_2020-07-03_at_13.06.45.png on the Certification section located on the lower-left part of the page. This action will redirect you to the SDS List page that contains all the SDSs of the chemical product you selected.
How do I delete the Safety Data Sheet (SDS) of my chemical products? (Formulators)

To delete an SDS, follow the steps below.

  1. To delete an SDS, click on the corresponding chemical product name. This will redirect you to the Product Profile.
  2. Scroll down to the SDS section at the lower-right section of the page.
  3. Click View SDS List Screenshot_2020-07-03_at_13.06.45.png. This will redirect you to the SDS Details.
  4. Click the Delete button Screenshot_2020-07-03_at_13.13.58.png for the SDS that you want to remove.
  5. Click Yes Screenshot_2020-07-03_at_12.46.06.png to confirm or No Screenshot_2020-07-03_at_12.46.11.png to cancel.
How do I resend my Safety Data Sheet of my chemical products to be checked? (Formulators)

If your SDS is not yet verified, you can resend it and notify the Account Admin to check it. If you opt to resend verification, follow the steps below.

Steps to resend your SDS for verification:

  1. Go to the ProductsScreenshot_2020-07-03_at_12.31.44.png tab in your Home page.
  2. For SDS verification, click the corresponding chemical product name. This will redirect you to the Product Profile.
  3. Click Edit Screenshot_2020-07-03_at_13.00.31.png on the Product profile section.
  4. Click View SDS List Screenshot_2020-07-03_at_13.06.45.png and you will be redirected to the SDS Details.
  5. Click the Send to check Screenshot_2020-07-03_at_13.17.59.png button of the SDS for verification.
  6. Click Yes Screenshot_2020-07-03_at_12.46.06.png to confirm or No Screenshot_2020-07-03_at_12.46.11.png to cancel.
How do I download the Safety Data Sheet of a chemical product? (Brands, Suppliers and Formulators)

The SDS of a specific product can be downloaded, read or used offline. A successful downloaded file is stored in your local drive in PDF format.

To download an SDS of your chemical product, follow the steps below:

  1. Go to the ProductsScreenshot_2020-07-03_at_12.31.44.png tab in your Home page.
  2. Under the SDS column, click the Download icon Screenshot_2020-07-10_at_17.03.27.png of the corresponding chemical product name. This action will automatically download the file and store it in your local drive

To download a chemical product’s SDS through Search:

  1. Click Search on the left navigation tab.
  2. Click Browse by Substrate.Screenshot_2020-07-10_at_17.05.21.png
  3. Select a substrate.Screenshot_2020-07-10_at_17.08.02.png
  4. Click a chemical product’s name.Screenshot_2020-07-10_at_17.09.32.png
  5. Click the SDS tab.

03/ Certificate

How do I edit my Certificate details on my chemical product? (Formulators)

Report Number, Report Date, and the PDF file of the report that you are required to attach. To edit your Certificate details, follow the steps below.

Steps to edit the Certificate details of your chemical products:

  1. Go to the ProductsScreenshot_2020-07-03_at_12.31.44.png tab in your Home page.
  2. To edit the Certificates details, click the corresponding chemical product name and you will be redirected to the Product Profile.
  3. Click View Certificates Screenshot_2020-07-03_at_13.26.33.png on the Certification section located on the lower-left part of the page and you will be redirected to the Certificate List.
  4. Click Edit Screenshot_2020-07-03_at_13.00.45.png on the Certificate that you want to modify.
  5. Fill in all required fields (*).
  6. Click Save Screenshot_2020-07-03_at_11.48.32.png to complete the update or Cancel Screenshot_2020-07-03_at_11.48.37.png to discard the changes.
How do I add a certificate on my chemical product? (Formulators)

Chemical products that have numerous certifications can be consolidated into one single chemical product with multiple certifications attached to it. To do this, follow the steps below.

Steps to add a new certificate in your chemical product:

  1. Go to the ProductsScreenshot_2020-07-03_at_12.31.44.png tab in your Home page.
  2. Under the Action column of the chemical product that you want to edit, click Edit Screenshot_2020-07-03_at_13.00.45.png. This will redirect you to the Product Profile.
  3. Click Add New Certificate Screenshot_2020-07-03_at_12.54.04.png on the Certification section located on the lower-left part of the page. In the Add Certificate page, you will be prompted to select a new Certification Type from the drop down list.
  4. Once selected, simply fill in all fields marked by an asterisk (*) and upload a Certificate by clicking Browse File Screenshot_2020-07-03_at_12.55.35.png to select and upload a file from your local drive.
  5. Click Save  Screenshot_2020-07-03_at_11.48.32.png to complete your updates.
